This policy explains what personal information Ivory & Ink collects when you visit our website or get in touch with us, how we use it, and the rights you have over it. We are a small business, and we only collect what we need to design and make your stationery.

Who we are

Jess Welling, trading as Ivory & Ink, is the “data controller” for the personal information described in this policy. This means we decide how it is used and are responsible for looking after it under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Visiting our website

You can browse this website without telling us who you are.

  • No cookies. Our website does not set any cookies, so there is no cookie banner to accept.
  • No analytics or tracking. We do not use Google Analytics or any other tool that tracks your visit, and we do not show adverts.
  • No third-party content. Our fonts and images are served from our own website, and we don’t embed videos, maps or social media feeds from other companies.

Like almost every website, our hosting provider, Netlify, may automatically record basic technical information when pages are requested, such as your IP address, browser type and the time of the request. This is used only to keep the website secure and working properly, and these logs are deleted automatically after a short period.

Information you give us

When you email us, phone us, message us on Instagram or place an order, we may collect:

  • your name and your partner’s name;
  • your contact details, such as your email address, telephone number and postal address;
  • details of your wedding, such as the date, venue, number of guests, colour scheme and the stationery you would like;
  • the wording for your stationery, which may include your guests’ names for place cards, table plans or envelopes;
  • order, invoice and payment records if you go ahead with an order;
  • how you heard about us, if you tell us;
  • anything else you choose to tell us in your messages.

If you send us your guests’ names or addresses, we use them only to make your stationery. Please don’t send us sensitive information we haven’t asked for, and never send full bank card details by email or social media.

How we use your information

Data protection law requires us to have a “lawful basis” for each way we use your information. We use it to:

  • Answer your enquiry and send you prices or a quote, because you have asked us to before entering into a contract, or because we have a legitimate interest in responding to people who contact us.
  • Design, print and deliver your stationery, including sending you proofs to approve. This is necessary to carry out our contract with you.
  • Keep accounts and tax records, because the law requires us to.
  • Understand how couples find us, if you tell us how you heard about us. We have a legitimate interest in knowing which of our marketing works.
  • Send you occasional news or offers, but only if you have asked us to. We will never add you to a mailing list without your consent, and you can withdraw consent at any time.

We do not sell your information, and we do not use it for automated decision-making or profiling.

Who we share it with

We only share your information when we need to, and only as much as is necessary:

  • Netlify, which hosts our website.
  • Postal and delivery services, when we post your order. They receive only the name and address it’s going to.
  • Services that help us run our business, such as our email provider and our accountant. They may only use your information to provide their service to us.
  • Authorities such as HMRC, where the law requires it.

Some of these services may store information outside the UK. Where this happens, we make sure appropriate safeguards required by UK data protection law are in place.

Photos and testimonials

We love to share photos of the stationery we create on our website and Instagram, to show future couples what we can do. If your stationery shows your names, wedding date or venue, we will ask before sharing it, and we’re happy to show a version with sample details instead.

If you send us a review or thank-you message, we will only publish it as a testimonial with your agreement, using first names only.

If you would like a photo or testimonial removed, just let us know and we will take it down.

How long we keep it

  • Enquiries that don’t lead to an order: up to 12 months, in case you get back in touch.
  • Your stationery wording and guest details: until 12 months after your wedding, so we can help with reprints or matching thank you cards.
  • Order, invoice and payment records: six years after the end of the financial year they relate to, as required by tax law.
  • Consent to marketing: until you withdraw it.

After this, we securely delete or destroy your information.

Keeping it safe

We use password-protected devices and accounts and trusted service providers to protect your information, and only people who need it can see it. Our website is served over a secure (HTTPS) connection. No method of sending or storing information is completely secure, so if you have any concerns about sending something to us, please email us first.

Your rights

Under UK data protection law you have the right to:

  • access the personal information we hold about you and receive a copy of it;
  • ask us to correct information that is wrong or incomplete;
  • ask us to delete your information;
  • ask us to restrict how we use your information;
  • object to us using your information, including for marketing;
  • ask us to transfer your information to you or another organisation;
  • withdraw your consent at any time, where we rely on consent.

Some of these rights have exceptions. For example, we may need to keep financial records for tax purposes. To make a request, email hello@ivoryandink.uk. There is no charge, and we will respond within one month.

Complaints

If you are unhappy with how we have handled your information, please contact us first and we will do our best to put things right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator, at ico.org.uk/make-a-complaint (opens in a new tab) or on 0303 123 1113.

Our website links to our Instagram (opens in a new tab) page. If you follow this link, or message us on Instagram, Meta’s privacy policy (opens in a new tab) applies to what Instagram collects. We are not responsible for the privacy practices of other websites.

Changes to this policy

We may update this policy from time to time, for example if we change how we work or the law changes. The latest version will always be on this page, with the date it was last updated at the top.
